X12 843 — Response to Request for Quotation

The 843 is the formal supplier reply to an RFQ 840 — price, MOQs, lead time, terms, validity period — to the originating buyer.

Purpose

The 843 documents a supplier quote in reply to a 840: unit price, MOQ (minimum order quantity), price breaks by volume, lead time, payment terms, quote validity period. It also carries proposed alternative substitutions if the requested item is unavailable.

It feeds bid evaluation and final supplier selection. Acknowledged by 997. Followed by a 850 (PO) when the buyer selects this supplier.

Envelope structure

The 843 travels within the three X12 envelope levels (ISA/IEA, GS/GE with functional group RR, and ST/SE). Didactic example in release 004010:

Common segments

Common pitfalls

  • Validity period clarity: a 843 without a clear DTM*036 validity leaves the quote interpretable indefinitely — always carry an explicit expiry.
  • Currency: an international 843 without explicit currency defaults to USD; CA/EU partners see wrong prices.
  • Substitutions documentation: if the supplier proposes an alternative, the cross-reference must be crystal clear; a mis-flagged substitute 843 creates a dispute at receiving.
